Set Up Your Availability Calendar and Google Calendar Sync

One of the most common reasons freelance techs miss out on gigs: the company didn't know they were available. The availability calendar on FreelanceAudioVisual.com fixes that by showing your schedule right on your public profile.
Adding events manually
From your dashboard, click Availability to open your calendar. Click any date to add an event:
- Event name — "Corporate AV - Marriott" or "Hold - pending confirmation"
- Date range — Single day or multi-day events
- Status — Booked, Hold, Available, Personal, Travel
- Location — Where the gig is
- Color — Custom colors to visually organize your schedule
- Notes — Internal notes only you can see
Each status shows differently on your public profile:
- Booked shows as unavailable (cyan)
- Hold shows as tentatively booked (yellow)
- Available shows as open (green)
- Personal and Travel show as unavailable (purple/orange)
Syncing with Google Calendar
If you already manage your schedule in Google Calendar, you can sync it automatically:
- Go to Availability on your dashboard
- Click Connect Google Calendar
- Authorize read-only access (we only see event names and dates, nothing else)
- Select which calendars to sync (you might have separate work and personal calendars)
Once connected, your Google Calendar events appear as overlay bars on your FreelanceAudioVisual calendar. They sync automatically — any new events you add in Google Calendar show up on your profile within a few hours.
How companies see your calendar
When a company views your profile, they see a visual calendar showing which days you're booked, on hold, or available. They can also send you a booking request directly from the calendar by clicking on an available date range.
Tips for maximum visibility
- Keep it updated. An outdated calendar is worse than no calendar. If you're back from a show, clear the hold.
- Mark travel days. If you're flying to a gig on Monday and working Tuesday–Thursday, mark Monday as travel so companies know you're not available.
- Use holds. When a show is "penciled in" but not confirmed, mark it as a hold. Companies can see you might be available and will reach out.
- Connect Google Calendar if you already use it. One source of truth beats updating two calendars.
